Fix · BuddyBoss + LearnDash access

The wrong people are in the wrong rooms.

Members inside courses they never bought. Paid members locked out of the group they did buy. Reports that don’t match sales. On a BuddyBoss + LearnDash membership this is almost always a handful of settings and one tag, and it is not a rebuild.

How owners describe it

“We’re not looking for a redesign, just someone who can troubleshoot and stabilize the existing system.”

LearnDash Groups membership owner, hiring post

“The goal is to verify that all membership registration, payment, login, account management… and member-only pricing functionality works as intended.”

association membership, hiring post

“Like being able to differentiate what each member has access to based on the monthly plan that they are subscribed to.”

YouTube comment

“When a tag is removed from a CRM contact, WP Fusion never removes it from the linked WP user.”

Not a rebuild.
Courses, groups, forums and design stay. We fix the rules that decide who sees what, and the wiring that carries “paid” into LearnDash and BuddyBoss.
We walk in as a member.
A free member, a basic member, a premium member, each on a phone. We open every course and group and write down which doors are wrong.
Then the numbers match.
When the rules are right, your member count, your course reports and your sales agree, and you can finally see who is doing what.
What it looks like from your side

Every door has its own lock, and nobody holds the master key.

On a BuddyBoss + LearnDash site, who-sees-what is decided in four places: the membership plugin, LearnDash’s course and group settings, BuddyBoss’s group and forum settings, and the tags your CRM applies. They were set up at different times by different people. Each one is probably right on its own. Together they let the wrong people into the wrong rooms, and you find out from a support email or a sales report that does not add up.

1
A course set to Open
One dropdown. It enrols every member on the site, whatever they paid for. Your “not started” report fills with people who were never customers of that course. We find this on most sites we walk into.
2
A group that auto-enrols
A LearnDash or BuddyBoss group with automatic enrolment on quietly adds members to every course inside it. Someone who bought one programme now has three.
3
The tag that never arrived
A paid member whose “premium” tag is late, missing, or spelled differently from the one the course checks. They paid, they wrote to you, and the group is still locked.
4
The tag that never left
A cancelled member keeps a tag the site never clears, so access stays open after the money stops. Your community grows while your revenue does not.
What we do first

Three test members, every door, one afternoon.

On the Audit we create a member at each level you sell and try every course, group and forum as each of them, on a phone. The result is a grid: who can see what, against who should. You get it in writing.

Every LearnDash course: is it Open, Free, Buy Now or Closed, and does that match what you sell?
Every LearnDash and BuddyBoss group: what it unlocks, and whether automatic enrolment is switched on without anyone meaning it.
The tag path: which tag each level is supposed to carry, where it is applied, and whether the course and group rules check that exact tag.
What happens on cancel and failed payment: does the tag clear, and do the doors close?
Your numbers: members by level on the site against active subscriptions, and enrolments per course against sales of that course.
What a new member sees on first login: the right dashboard, the right courses, nothing they did not buy.
What the fix looks like

One rule per level, every door reads it, then prove it.

No new plugin. We decide, with you, what each membership level includes, make one tag or group the single source of truth for each level, point every course, group and forum at it, and test it as a member. From your side it looks like this.

  1. 1
    You get the grid
Who can see what today, against who should. Usually a few surprises, and a count of members inside things they never bought.
  2. 2
    We close the open doors
Courses off Open, groups off auto-enrol, forums tied to the right group. Nobody loses access they paid for; people lose access they never did.
  3. 3
    One key per level
Each level gets one tag or group that means “paid for this”. Every course, group and forum checks that one key. Old and duplicate tags are retired.
  4. 4
    Cancels close doors by themselves
Failed payments and cancellations clear the key through your CRM, and the rooms lock, without anyone on your team doing it by hand.
  5. 5
We prove it, then watch it
The three-member walk-through again after the fix, written up. If we stay on, it runs every Monday and you hear about a wrong door before a member does.
the course that is “set to open” is almost never the one you expect. check them all.
“You always know what’s going on.”
Superb job of delivering high-quality work, whilst also making sure to communicate updates regularly. Will definitely use the team again.

The technical version, for your developer

Send this to whoever looks after the site. Access on this stack is the intersection of the membership plugin’s level, LearnDash course and group settings, BuddyBoss group/forum visibility, and the CRM tag that WP Fusion or Memberium applies. Audit it as a matrix, not a ticket queue.

  1. Course access mode. Every LearnDash course should be Closed (or Buy Now) with access granted by group or tag, never Open. Open ignores membership entirely. Check the live site, not staging.
  2. Group auto-enrolment. In LearnDash Groups, “Enable automatic group enrollment” should be off unless the group is intentionally a bundle. Same for BuddyBoss group-to-course sync.
  3. One tag per level. With WP Fusion: one required tag per course/group, applied on purchase and removed on cancel/failed payment (watch the FluentCRM 3.1.9+ removal-sync issue; verify tag removal reaches user meta). With Memberium: one membership level, courses mapped to it, no overlapping tags.
  4. Redirects. Members without the tag land on a specific no-access or upgrade page per course, not the login loop. Test logged in as a lower level, on mobile, with caching on.
  5. Reconcile. Export enrolments per course (ProPanel) and members per level; diff against sales. Remove orphan enrolments in bulk, then re-run the matrix after every plugin update.

Watch it done
The setting we find on most sites we walk into: a course marked Open enrols every member, whatever they paid for, and the reports stop matching your sales. Five minutes, and the fix is one dropdown.
Questions owners ask
Does fixing this mean rebuilding my courses or my community?

No. Your courses, groups, forums and design stay exactly where they are. The problem is in the rules that decide who sees what, and in the handoff between your membership plugin and LearnDash. We change rules and wiring, not content.

Why does my members count not match my sales?

Usually because a course or group is set to Open or to auto-enrol, so people are inside things they never bought, and your progress reports count them. Once the rules are right, the numbers line up, and you can see who is actually taking which course.

Members say they bought a course and the group is still locked. Why?

Access on this stack travels as a tag or a group membership, from the payment through your CRM into LearnDash and BuddyBoss. If the tag never arrives, or arrives late, or an old tag is still being checked, the door stays shut. We trace the tag, not the complaint.

We use WP Fusion with FluentCRM, Keap or ActiveCampaign. Is that part of it?

Often. The tag is the key to every door, so a sync that lags, a tag removed in the CRM that never clears on the site, or two tags with similar names will open or close the wrong rooms. We check the tag path end to end as a member.

Can I just get the list and give it to my own developer?

Yes. The Roadmap is yours and the fixes are specific settings and rules your developer can apply. If you would rather not think about it again, the $1,500 counts toward us fixing it and staying on.

Want the grid, and the doors fixed?

The Audit walks your site as three different members, hands you the who-sees-what grid against who should, and the fix order. You keep the Roadmap whether we do the fixing or not.

Strategy Audit: $1,500, two weeks, a written Membership Operations Roadmap you own. Refundable in week one if we can’t help. The $1,500 counts toward a fix or Support Block started within 30 days.
